Privacy Policy

1. Who we are

CN Quotation Maker (“the app”, “we”, “us”) is provided by [Company Legal Name], [Registered address, City, State, PIN, India]. We are responsible for the personal data described in this policy.

This policy covers the CN Quotation Maker mobile app for Android and iPhone, our servers, and this website. It is written in plain language. If anything is unclear, write to privacy@cnquotation.app.

2. What we collect

Information you give us

• Sign-in details: your mobile number and/or email address. We use them to send you a 6-digit sign-in code. We do not use passwords.
• Business profile: business name, tagline, phone, email, address (and its point on the map, if you pick one), logo, signatory, GST number, your items and rates, material and labour rates, payment terms, warranty, written terms and quotation numbering.
• Photos you add: your logo and the photos of your work that you take or choose for your items. Only the pictures you pick are uploaded, never your gallery.
• Quotations: the work, sizes, specifications, materials, labour charges, prices, discounts, GST, status and versions of each quotation you make.
• Your customers’ details: the name, mobile number and site address (and its point on the map, if you pick one) of the customers you add to quotations (see “Your customers’ data” below).
• Settings: your chosen language.

Information collected automatically

• Account and security data: account creation time, when a sign-in was verified, and sign-in sessions. Sign-in codes and session tokens are stored only in hashed (unreadable) form.
• Technical logs: like every online service, our servers record basic technical data such as IP address, time and the request made. We use these logs only to keep the service running and secure, and keep them for a short time.

What we do not collect

• We do not use analytics, advertising or tracking tools in the app.
• We do not read or upload your phone contacts. Only the contact you pick is used.
• We do not use your microphone.
• We do not track your location. The app reads it only when you tap My location on the map, to fill in an address.
• We do not collect payment card or bank details.

3. Phone permissions

The app asks for a permission only when you use the feature that needs it. You can say no.

You can change these permissions at any time in your phone’s settings.

4. How we use your data

We use your data only to provide the app:

• to create your account and sign you in with a one-time code;
• to save your business profile and quotations, and sync them between your phones;
• to make quotation PDFs that you choose to share;
• to keep the service secure, prevent abuse and fix problems;
• to reply when you contact us;
• to meet our legal obligations.

We do not sell your data, we do not use it for advertising, and we do not share it with anyone except the service providers listed below.

Our legal basis is your consent, given when you create an account and agree to this policy, and the “legitimate uses” allowed by law, such as keeping the service secure and meeting legal requirements.

5. Your customers’ data

When you add a customer to a quotation, you give us their name, mobile number and site address. We store this only so that you can make, keep and resend quotations. We never contact your customers and we never use their details for any other purpose.

You decide what customer details to enter and with whom you share a quotation. Please only add details you are allowed to use for giving a quotation, and delete them when you no longer need them.

6. Sharing and service providers

We use these trusted providers to run the service. They may process data only on our instructions:

Maps and address search: when you search for an address or pick a point on the map, the text you type or the point is sent to Google Maps Platform to find the address. Your name, number and quotations are not sent.

Sharing you start: when you tap Send, the app hands the PDF to WhatsApp, email, print or another app that you choose. What happens next is covered by that app’s own privacy policy.

Legal reasons: we may disclose data if the law requires it, for example in response to a valid order from a court or government authority in India.

Business transfer: if [Company Legal Name] is merged or sold, your data may move to the new owner, who must keep protecting it under this policy. We will tell you first.

7. Where we store data and how we protect it

• On your phone: your business profile and quotations are saved on your phone so the app works offline. Your sign-in session is kept in the phone’s secure storage. This copy is erased when you log out or delete your account.
• On our servers: a copy is kept on our servers so you can sign in on another phone and recover your data. Our servers and database are in Singapore, so your data is stored outside India, as Indian law allows. Data travels between the app and our servers over an encrypted (HTTPS) connection, and is encrypted where it is stored.
• Your photos: the logo and photos you add are kept in private storage. Only your own account can see them, through links that expire after a few days.
• Sign-in safety: sign-in codes are hashed, expire after 10 minutes and stop working after 5 wrong tries. Sessions expire and are renewed automatically, and old session tokens stop working.

No system is perfectly secure, but we work to protect your data. If a data breach affects you, we will inform you and the authorities as the law requires.

8. How long we keep data

• We keep your account data for as long as you have an account.
• When you delete a quotation, it is hidden right away. It is removed from our servers for good when you delete your account.
• When you delete your account, we delete your account, sign-in details, business profile, photos and all your quotations from our live systems right away. Copies in encrypted backups are overwritten within 30 days.
• Technical logs are kept for a short time for security, then deleted.

9. Your rights

Under India’s Digital Personal Data Protection Act, 2023, and other laws that may apply to you (such as the GDPR), you have the right to:

• Access your data. Most of it is visible in the app at any time.
• Correct your data. You can edit your business details, items and quotations in the app.
• Delete your data and account, in the app or by email (see Delete account).
• Withdraw consent at any time by deleting your account. This does not affect anything we did before.
• Nominate someone to act for you if you die or become unable to act.
• Complain to our Grievance Officer (below) and, if you are not satisfied, to the Data Protection Board of India or your local data protection authority.

To use any of these rights, email privacy@cnquotation.app from your registered email or mention your registered mobile number. We may ask you to confirm it is you.

10. Children

CN Quotation Maker is a business tool for adults. It is not meant for anyone under 18, and we do not knowingly collect data from children. If you believe a child has given us data, contact us and we will delete it.

11. This website

This website does not use tracking or advertising cookies and does not ask for personal data. Our hosting provider may keep basic technical logs (such as IP address) for security. See our Cookie Policy.

12. Changes to this policy

We may update this policy, for example if we add new features. We will change the “Last updated” date above. If the change is important, we will also tell you in the app before it takes effect.
